Office Administration (Wolwedans based)

The Wolwedans Collection is looking for a qualified administrator to support the Operations team with all administrative duties as well as reservations. The succesful candidate will be based at the Wolwedans Village, joining a desert-based community who is supported by a small head office run from Windhek.  As an admnistrator, the consultant is responsible for overseeing the daily interaction of guests and guides while maintaining an exceptional reception area at the Wolwedans Villabe Base Camp. The candidate will also be encouraged to foster relationships with local and international agents and DMC’s visiting Wolwedans, attend travel trade shows (where required) and tourism exhibitions.  Our collection of camps and lodges are nestled in the vast NamibRand Private Nature Reserve and this makes our product unique, so we hope to fill this position with a nature and outdoor enthusiast.

  • Dealing with customer queries and complaints
  • Providing advice about visas, passports and marriage licenses where required 
  • Training and supervising new team members
  • Executing accurate reservations whilst managing and reducing availability on the grid in conjunction with the Head Office Reservations Team
  • Maintaining accurate statistical and financial records
  • Seasonal planning and regular reporting to the Operations manager, Finance manager and Reservations supervisor
  • Contributing to Curio Shop's promotional materials and displays
  • Proactively maintaining relationships with all destination management companies (DMC's), agents and clients
  • Maintain service and quality levels

Whilst providing on-going communication to the Operations manager and Finance manager  on sales targets, performance interventions and general administration - the senior consultant will also be required to bring innovative new processes and interventions to the team to improve service levels and customer experience.

Essential Qualifications & Attributes:

  • 3-5 + years experience in the corporate or leisure travel industry
  • Professional spoken and written communication
  • Solid working knowledge of the travel industry, policies, procedures and processes
  • Advanced skills with Innkeeper Inventory Mgt. Software and knowledge of Nightsbridge Booking System
  • Strong verbal and written communication skills in English (German is a bonus)
  • Proven ability to handle multiple priorities and tasks simultaneously
  • Ability to work lodge-based hours 
  • Ability to work independently, exercising discretion and judgment
  • Demonstrated excellent professional customer service and problem resolution skills
  • Strong problem solving and/or critical thinking skills

    Preferred Qualifications:

    • Tourism Diploma preferred / Bachelors Degree is hughly advantageous
    • Proficiency in Microsoft Office 365
    • Demonstrated internet research skills for customer information
    • Administrative Experience
